1. Who we are
Coldwires (the "Service," "we," "us," or "our") is a cold email automation product currently in pre-launch development, operated by the Coldwires team. This Privacy Policy explains how we handle information you provide through our marketing website at the domain hosting this page, including the waitlist signup form.

2. Information we collect
Information you give us
When you join the waitlist, we collect:
- Email address — used to notify you when access opens and to send pre-launch updates.
- Submission timestamp — used to determine waitlist order.
- Source attribution (e.g., "pre-launch") — used to understand which campaigns brought you to the site.
Information we collect automatically
When you visit our site, our hosting provider records standard request metadata, including:
- IP address (used for abuse prevention and approximate geographic analytics)
- Browser type, operating system, and device class
- Referring URL and pages viewed
- Date and time of visit
We do not currently use third-party analytics, advertising pixels, or session-replay tools on this pre-launch site. If we add any, we will update this policy and disclose them in advance.
Cookies
This pre-launch site sets no first-party tracking cookies. Your browser may store standard session state required by our hosting provider; this data is not used to identify you across visits.
3. How we use information
We use the information described above to:
- Send you a one-time confirmation that you joined the waitlist.
- Email you when Coldwires opens access, and to share material pre-launch updates (no more than monthly).
- Operate, secure, and improve the website itself.
- Comply with legal obligations and enforce our Terms of Service.
We do not sell your email address. We do not share it with advertisers. We do not use it to train machine-learning models.
4. Legal bases (EEA / UK)
If you are in the European Economic Area or the United Kingdom, we rely on the following legal bases under the GDPR and UK GDPR:
- Consent — for joining the waitlist and receiving pre-launch emails. You can withdraw consent at any time.
- Legitimate interests — for basic site security, abuse prevention, and aggregate analytics.
- Legal obligation — where applicable law requires us to retain records.
5. How we share information
We share waitlist information only with service providers who help us operate the site and the waitlist itself. These providers are contractually required to handle data only on our instructions:
- Hosting and email infrastructure — to store the waitlist and deliver our notification emails.
- Domain and DNS providers — to operate the website.
We may also disclose information when required by valid legal process, to protect the rights, safety, or property of Coldwires, our users, or the public, or in connection with a merger, acquisition, or sale of assets — in which case we will notify you before your information becomes subject to a different privacy policy.
6. Retention
We retain waitlist email addresses until the earliest of: (a) you ask us to delete your record; (b) twenty-four (24) months after public launch, if you have not converted to an active account by then; or (c) we shut down the waitlist program. Server logs are retained for up to ninety (90) days for security and debugging purposes.
7. Your rights
Depending on where you live, you may have the right to access, correct, delete, port, or restrict processing of your personal information, and to object to certain processing or withdraw consent. To exercise any of these rights, email hello@coldwires.com from the address you signed up with, and we will respond within thirty (30) days.
You can unsubscribe from any email we send by clicking the unsubscribe link in the footer. Unsubscribing removes you from the waitlist.
8. Security
We protect waitlist information using industry-standard administrative, technical, and physical safeguards, including encryption in transit (TLS) and at rest, access controls scoped to need-to-know, and regular review of our infrastructure. No system is perfectly secure; if we discover a breach affecting your information, we will notify you and the appropriate authorities as required by law.
9. International transfers
We operate from the United States and may store data with providers in the United States or other jurisdictions. Where required, we use Standard Contractual Clauses or other appropriate safeguards for cross-border transfers.
10. Children
Coldwires is a business product and is not directed to children under 16. We do not knowingly collect information from children. If you believe a child has submitted information to us, contact hello@coldwires.com and we will delete it.
11. Changes to this policy
We may update this policy from time to time. Material changes will be announced by email to waitlist subscribers and posted at the top of this page with a new "Last updated" date. Your continued use of the site after the effective date constitutes acceptance of the revised policy.
